DEPOSIT

A 50% non-refundable deposit should be transfered prior to starting the project. All bank information is located at the bottom of the invoice that will be sent once project is confirmed. The remaining 50% + any additional costs (added design items etc) should be paid in full at the end of the project. Please make all payments in EUROS (€, BNP PARIBAS FORTIS, Belgium), keeping in mind that there might be an additional fee when sending payments from outside the UK (please check with your bank). You may also send payments via Paypal, (adding the +4% transfer fee) or with Wise. All costs exclude 21% Belgian VAT, which you will not have to pay if you have a registered business within the EU, or are paying from outside the EU.  

 

CONCEPT DEVELOPMENT

For all Bespoke commissions, I will work closely with you to come up with a concept and general direction (style, theme, etc), with unlimited edits allowed until we arrive at the perfect result. Once you have shared your mood-boards and ideas, i will start with the design process, and send you the artwork once the concept is clearer to make sure I'm working in the right direction. Once approved, only one concept will be fully developed, unless negotiated otherwise. If you decide to completely change the concept of the project once it has already been approved, an additional fee will be added following negotiation and your approval. 

 

COPYRIGHT

I retain all rights to the artwork, including those to reproduce, print, adapt, display, and commercialise. Any High definition file sent to you can only be used for the negociated event. No personal details specific to client (such as names, private properties, etc.) will be used in future artwork, and will be hidden when publishing upon requested. 

 

HD ACCESS OF BESPOKE ARTWORK

You will only be granted HD access to some of the bespoke artwork upon request, See below. If you require the high resolution file for any other artwork for something very specific that needs to be produced locally, please let me know, and we will send you an offer for a one time use. Please note, NONE of the artwork can be used for commercial purposes, only private.

EXCLUSIVITY 

you will be granted exclusivity over your bespoke artwork for 6 months after your event, unless negotiated otherwise. Please note that compostions are created by assembling multiple painted individual elements, either existing, new or in combination; whatever is needed to arrive at that perfect result that you absolutely love. I reserve the right to recycle individually painted elements from and for the collections at any time (ex: plants, animals, etc). these elements will typically be used as part of new compositions for other clients, as well as new products for the shop. The granted exclusivity is for the composition, not the individually painted elements.

PROLONGING EXCLUSITIVITY

prolonging exclusivity over design is possible upon negotiation. Please let me know if this is something you might be interested in. 

 

ARTWORK DISTRIBUTION

All rights are reserved to use any artwork for any publications, whether physical or digital. All personal details will be omitted from publicly shown designs upon request and as specified by client - I’ll be double checking this with you. Make sure to tag me on social media if you wish to publish any work on your end, any publicity is always appreciated!  

 

DESIGN CREDIT

All Websites will have a small hyperlinked signature at the bottom of all pages except the landing page. A small signature will be integrated as part of your printed stationery design as well. 

 

LIVE WEBSITE

Your website will be available online for 1 year following the launch. As soon as the website is live, I will tranfer it over to you, so that then you can directly manage the hosting and domain the following years (more or less €150 per year with wix.com). If i forget to do so, please remind me!  Alternatively, your website will be available for viewing indefinitely after the hosting and domain expires on the free wix domain: emerence.wixsite.com/websitename

 

WEBSITE TECHNICAL ISSUES

Like for any website, there can occasionally be issues that arrise (allignment, hosting, security issues etc). Please report any issue you may encounter, and I will troubleshoot it as soon as possible. 

 

WEBSITE EDITS

I will make sure that the website is as perfect as possible before the launch, with small edits here and there offered afterwards as well. As soon as the website is live, you will also be granted access to the back end in order to easily edit the content yourself in the future. An extra cost will be added for for any big edit, such as additional pages or artwork. 

 

TIMING OF DELIVERY

I will discuss with you a timeframe that fits you and your event’s needs best, agreeing on an approximate date (early/mid/late of the Month).

 

PRINTING OF STATIONERY

All printing from beginning to end is managed in-house. No high definition artwork will be directly shared with the client, except for that of the emblem and portrait. Please note that invitations, with no exception, are always managed from beginning to end by Potesta Designs. Printing location varies, depending on client and project requirments, typically between the UK, Belgium and Turkey.   

 

WORKING WITH LOCAL SUPPLIERS 

When it comes to adapting designs for event accessories (guest favours, signs, event branding etc) we will be directly in touch with either your planner or the selected supplier as to control the quality of the production from beginning to end. Please note that there will be a starting fee of €300 for any shared High Definition designs.   

 

SHIPPING

The shipping fee (UPS/FEDEX express) is included for a maximum of €200. If the shipping fee is higher, you will be notified to discuss additional fees. If you live outside of the EU, it will be your responsiblity to pay for customs (usually around 5% of the total declared value of the project).
